Information we may collect

Depending on how you use the website, this may include:

  • name
  • contact information
  • registration enquiries
  • messages you send us
  • performer information submitted through Show 2027 forms
  • parent or guardian information
  • emergency contact details
  • information required to administer show participation
  • consent and permission responses
  • technical website information where analytics are enabled

Sensitive information

The Show 2027 form may additionally collect health, medical or disability-related information where it is needed to administer participation and support performer welfare. This is treated as more sensitive than ordinary contact details, is only seen by those who need it to run the performance safely, and is never published on the website or shared with our website assistant.

Why information is used

  • responding to enquiries
  • administering classes and registrations
  • administering performances and events
  • communicating important information
  • managing appropriate permissions
  • supporting performer welfare and safety
  • operating and securing the website
  • understanding website use where analytics consent has been provided

The specific legal bases relied on for each purpose have not yet been confirmed and are flagged for review by ESSOPA and, where appropriate, a professional adviser.

Children’s information

ESSOPA provides classes and performances for children, so we may process information relating to children where it is necessary to deliver those activities safely. Where a performer is under 18, information should normally be supplied by, or with the involvement of, a parent or guardian. If you would like to discuss information held about your child, please contact us using the details above.

Health and sensitive information

Some forms ask about medical conditions, allergies, medication, disability or accessibility needs. We ask only where it is relevant to safe participation, and we use it to look after performers during rehearsals and performances. If you would prefer to share this information privately rather than through a form, please contact Miss Ella directly.

Service providers

Show 2027 form submissions are stored in a private Google spreadsheet held within ESSOPA’s own Google account. Trusted service providers such as Google process and store information securely on ESSOPA’s behalf; they do not own the information you submit. Registration and payments are handled by ClassManager, and uniform orders by our recommended supplier. Those services operate their own privacy policies.

AI assistant

The website provides an AI-powered assistant to help visitors find published ESSOPA information such as the timetable, classes, uniform and Show 2027 details. It is an automated assistant, not a member of staff. It has no access to Show 2027 form submissions or any other personal records, and those submissions are never sent to an AI model. Please do not submit sensitive or confidential personal information through the assistant.

Cookies and analytics

See our Cookie Policy for details of the cookies and browser storage used on this site. You can change your choices at any time.

Sharing information

ESSOPA does not sell personal information. Information may be shared with the service providers described above, or where it is needed for legitimate administration of classes and performances, or to meet a legal obligation, subject to applicable requirements.

Retention

Information is kept only for as long as reasonably necessary for the purpose it was collected for, and for any applicable legal or administrative requirements. Specific retention periods are to be confirmed by ESSOPA.

Your rights

Under UK data protection law you may have rights relating to access, correction, deletion, restriction, objection and portability, depending on the circumstances. To make a privacy enquiry or request, email ellasheppardschoolofdance@hotmail.co.uk or call 07835 773586. You also have the right to raise a concern with the Information Commissioner’s Office.
